You do not need a brief, a budget approval, or a requirements document. Four small pieces of preparation will make the half hour noticeably more valuable.
Write the problem in one sentence
Not the solution, the problem. If the sentence is hard to write, that difficulty is itself useful information and worth bringing to the call rather than smoothing over beforehand.
Bring what you have already tried
Previous attempts, tools you bought and abandoned, an internal build that did not land. Knowing what failed and why saves us from proposing the same thing again with a different name.
Know your constraints and your dates
A launch event, a contract renewal, a compliance deadline, a platform being retired. Fixed dates change which approaches are realistic far more than most people expect, so mention them early rather than at the end.
Decide who needs to be on the call
Whoever understands the problem and whoever can say yes to the next step. Two or three people is comfortable. More than that and the call turns into a briefing rather than a conversation.
What happens on the call itself
The half hour has a shape. It is not rigid, and a good tangent is always worth following, but this is the default rhythm.
Opening: your context
You describe the situation in your own words while we take notes and stay out of the way. No interruptions and no reframing until you have finished.
Middle: our questions
The bulk of the call. We probe scale, data, users, integrations, existing systems, internal capability, and what has to stay working while anything changes.
Then: the options
We describe the two or three realistic routes we can see, including the one where you do nothing yet, and say which we would pick and why.
Close: the next step
One specific action, named out loud, with who owns it. A scoping exercise, a technical review, a follow-up with someone else in your team, or nothing at all.
